Getting organized is hard. If it weren’t, we wouldn’t put it off until it got even harder. There are hundreds of books out there on how to get organized; they have ideas on how to work in your garage, in your living room, in your mind, in your job. They offer every sort of idea for every sort of situation… but you know what happens to most of those books? They end up in the middle of some pile on our disorganized tables and desks.

What we need is some simple, applicable ideas and systems that we can start applying today. Here are my suggestions that I’ve come up with after working with all different sorts of clients and situations.

First of all, get an ‘information assistant’ (IA) that you can carry with you throughout your day. A paper-based daily planner, a personal digital assistant (PDA) like a Palm Pilot, or even a simple notebook where you keep everything written down (those are harder to keep organized, but don’t think you need to spend a bunch of money on this tool).

Once you have that IA, use it. Have it be your calendar, your address book, your notebook, your reference page, your task list. Use it every day, and keep it up to date. I now always recommend a digital solution (like a Palm) if you already have a computer as these are much easier to keep updated, and are generally easier to carry around. I love that I can carry mine in the breast pocket of my sports coat. I used to have a paper planner, but I’d never take it with me in the evenings. Kind of hard to ‘hit the town’ with a notebook under your arm. More importantly, more and more of our lives are connected to the internet, and this flood of information will only grow. In addition, the data on a PDA can be backed up almost instantly, so if you lose it, there’s no loss of information.

It takes a bit of time to get used to these tools, and of course you run into problems setting them up. It’s a bit like a computer Once there’s one on your desk, it’s all set up and you know how to use it, you get a lot done but it took a while to get used to it. Plan on learning how to use your PDA so you’re not fumbling around with it.

Now that your information is organized, let’s look at the other important aspects of getting organized. Look around your office or home: what disorganized stuff is bugging you? If there’s one particular room, or corner, or drawer that really bothers you, tackle that now. Try to deal with this one space until it’s cleared, but if you can’t finish in one or two hours, don’t worry, just come back to it again, until you’ve got that biggest ‘monkey’ off your back. Once you feel the lightness from that, you will be more ready to tackle the next one.

How do you tackle that spot? By applying two main rules to each and every piece of paper or stuff: (1) If it takes less than two minutes to deal with (to file it, to act on it, or to trash it), do it now. If it takes longer than two minutes to deal with, “contain” that project (meaning file/box it), and put it on your calendar to deal with it in the next week. (2) If you haven’t used it in over a year, toss it.

An example of this might be a crafts table, piled high with craft ideas, old mail, maybe a couple of shoe boxes of photos. (Sounds sort of familiar to many of us, doesn t it?) Well, for example, take those photos, put them in a container that they just fit in, and put on your task list/calendar a time when you will get to that project. Now, you’ll probably not find the 7 hours you’ll need to put those photos in order all in one block, so plan on spreading that project out over time. Keep going through that pile using these two ‘golden rules’ of organizing.

The first step for ‘tomorrow’, Day 2: Managing time.

A great way to figure out ‘where the time goes’ is to spend a day tracking where you spend your time. You’ll be surprised at how much of that day is spent on things you didn’t expect. Your work can be full of interruptions, distractions, problems, moments of relaxation, etc. Try to keep track of what you’re doing for one whole day, in 15 minute increments. Do you really intend to spend 3 hours a day responding to email and/or surfing the web?

Set up systems that allow you to focus on your priorities when you want to. Do things such as:

Then add a weekly review onto that calendar so you can look back at what you did in the last week, and what you’ll do in the next week to meet those goals.

The big issue disorganized folks have is that they work really hard to get organized, then in a couple of days or weeks, it’s all back to normal, and those great goals and lists are buried. A solution might be to share your weekly priorities with a friend or colleague who will hold you accountable And you do the same for them. (You could make a bet that if one of you doesn’t get through your list, you have to buy dinner that week.)

Setting priorities and sticking to them is really hard for all of us. This is why organizational tools that spread your ‘core’ values into your everyday consciousness are such good organizational tools. Steven Covey’s ‘Seven Habits of Highly Effective People’, the Franklin Planner’s goals and values process, and it s why I suggest looking at your long term goals at least once a week during your weekly review. You need that reminder on a regular basis.

As your systems start to fall into place, and you start to feel the benefits of getting organized, build on that momentum and start looking at what your overall life goals are, and what influences you. When you start working smarter and more effectively, you have to ask yourself what you’re going to do with the extra time? Are you going to work more to accomplish more? Or do you want to take that time to do something else? You certainly haven’t become more organized just so you can do more sitting in front of the TV have you?

When my mate Jim got shot, one of the major Sydney newspapers ran
story entitled “Evil Villain Gunned Down”. It featured a picture
of Jim carrying an automatic weapon. The picture had been taken
many years earlier during Jim s time with the Australian Army. I
thought You bastards! That s not the man I know.

When Morde was on trail in Israel I read a variety of articles
that spoke about him as being a sophisticated spy - working for
the Arabs and out to destroy his country. I thought You

received these cheques. I d never seen that much money before in
my life.

I had never heard of Ray Williams, but his business card was
attached, so I rang the number and got one of those classic
receptionist voices, saying “Mr Williams is busy at the moment.
Can I take a message?” Then I mentioned my name and all of a
sudden I was speaking to Ray.

“Ah … hi … do I know you?” I started. “No. I don t think so,”
he said. “You ve just sent me cheques for $25,000″ I said. “Yes”
he said. “Um … are you a local from around here? Have you been
watching our work?” I asked. “No” he said. “Well … are you
connected with the church or with youth work around here?” “No”
he said. “Well … are you a fight fan?” I asked, scratching for
some point of connection. “Not at all” he said. “I read an
article about you in the Herald and it looked like you needed
some help.” “Yeah, I do” I said. “Well, will that help?” he
asked. “Oh yeah” I said, “that ll help.”

That s how our relationship began. Over the years that followed
Ray took a keen interest in our work. As things at HIH became
tighter, we didn t receive any further support from the company,
but Ray himself would generally turn up to our fundraiser fight
nights, and he wouldn t leave before slipping us a cheque from
out of his own funds. It s what kept us going while we searched
for more stable sponsorship from the local community. We owe a
lot to Ray.

And it wasn t just the money. It was the man too. He was
inspiring in his humility.

At the time of the first donation we had a guy in our church who
worked as one of the chief accountants in the public hospital
system. “Oh yeah” he said to me one Sunday. “If it wasn t for Ray
Williams, half the hospitals in Sydney might be closed.” And then
he added “but he never likes to have his name mentioned. He hates
the limelight”

We found this to be entirely true. We managed to get him on stage
once to present a trophy to one of our fighters, but it was a
tough job. He really hated being at the centre of attention. It s
one of the things that makes this Royal Commission so odious to
him.

I still can t believe the way the media have gone after him -
vigorously attacking him for his generosity to hospitals and
charities. It s not as if he was giving away money that should
have gone to insurance claimants. If he hadn t given it away, I
guess it would have slightly increased the dividend paid to the
shareholders, and he himself must have been one of the largest
shareholders. I still find it preposterous to think that the
media should have acted so self-righteously indignant about the
fact that the poor shareholders were losing potential income
because it had gone to the children s hospital. It s just
ridiculous.

But it wasn t only the media that crucified Ray. Once the news
about HIH s collapse became public knowledge, former colleagues
deserted him, old friends and associates turned their backs on
him, and charities that he d been supporting for years all of a
sudden didn t want to know him. Ray had been on the board of the
Children s Hospital for as long as anybody could remember. They
sent him a letter saying thank you but your services are no
longer required . Nobody waited for the results of the Royal
Commission. Nobody waited to see if perhaps he wasn t the real
villain in the piece. Everyone distanced themselves, not wanting
their own reputations to be tarnished.

I seriously can t understand that attitude. I know I m capable of
doing some stupid and selfish things, but deserting a mate in his
time of need is not one of them. When I think about all the
people that Ray must have helped over the years, I just can t
believe that none of them thought to ring him up and say How are
you going, Ray. Perhaps it s my turn to give you some support?

Anyway, my point here is not to spit my dummy. And I ll be the
first to admit that I don t have a clue about big business,
insurance laws, or anything of the sort. But I know a good man
when I meet one, and Ray Williams is a good man and someone whom
I m proud to call my friend. And I ll be buggered if I m going
stand by and listen to people pouring crap out on a mate of mine
without saying anything.

Canada s military has been a long-standing joke for decades. On October 5th, that joke turned deadly serious when a crew member of the HMCS Chicoutimi died from injuries sustained onboard from smoke inhalation. Lieut. Chris Saunders, who leaves behind a wife and two children, will become known as the 1st Canadian to die aboard a submarine will on duty in approx. 50 years. The HMCS Chicoutimi was on its maiden voyage to Canada when the fire broke out. It was the last one of 4 vessels purchased second hand from the UK, to be brought to Canada for use in its Navy. The total price tag for the 4 submarines was 750 million dollars. All four submarines reported problems of varying degrees, with this latest incident being the most serious. They were actually purchased in 1998, and that was considered a bargain at the time. 2 more crewmembers remain hospitalized as a result of injuries sustained during the incident.

All three crewmembers were transported to a hospital in Ireland, close to where the submarine was when the fire broke out. In doing so, the Canadian government was sparred further embarrassment from the incident by not having the injured personnel not wait for medical attention in a Canadian hospital with depleted resources due to cuts over the last decade. The Liberals are already trying to deflect blame thrown at them from the opposition, claiming that the problems reported on the purchased subs where all normal, and that the inspection teams did all they could prior to allowing the subs to leave dock. Meanwhile, the Navy insists that these submarines were needed in their plans for defence.

That leaves the Spanish fishing boats. They have continuously ignored warning by the Canadian government about fishing in their waters. The fishing industry is in decline, with the Maritime Provinces being the most affected, as they have become Canada s own 3rd world nation. Could Canadians have paid 750 million dollars to deter the Spanish? There own version of a new cold war? There is no other explanation for it. No other reason for it, other than to scare away the Spanish boats, or the fish from under the Spanish boats and drive them to Canadian nets. Either way, after a quarter of a billion dollars in initial cost, with hundreds of millions more in maintenance and repair costs, and now 1 human life, Canadians are paying dearly. To be insulted for your national defense is one thing, but to have a government force Canadians pay for the upkeep of those insults is more than just a slap in the face, it is a reason to fight back.

Rush is right! The government’s stepped up bid to regulate broadcast television content is indeed frightening. Limbaugh made his comments during one of his regular radio broadcasts last year. Those remarks were in response to the FCC’s crackdown on broadcast indecency and Congress’ threats to hand out much larger fines to broadcasters for such violations, in the wake of Janet Jackson’s “wardrobe malfunction” at the Super Bowl halftime show last February.

Limbaugh is the not only media personality alarmed by this intensified government scrutiny of television content. At the beginning of his news program on CNN during that same time frame, Aaron Brown said he thought the only thing worse than Jackson’s Super Bowl debacle is the fact that the government is now getting involved in trying to prevent similar incidents in the future. Amen, Aaron!

O.K. The consequent lines can be like a feather to the cap. Just keep on reading, you’ll discover some more awareness.

Television, like any other business in a capitalistic society like ours, is and should be governed by the marketplace and the laws of supply and demand. I would love to see more family-friendly television programming. However, if there were truly a great demand for it, there would naturally be a lot more of it in existence (as well as a lot less of the offensive stuff). The folks who are pushing the hardest for greater government intervention to make TV more family-friendly will assert that they are in the majority of viewers and listeners in the U.S. However, the facts belie this assertion.

Of the seven broadcast networks, PAX, widely recognized as the most family-friendly, is last in the ratings. It’s not just last, it is dead last! PAX gets about one-fourth of the audience of the sixth place network! Even in places that don’t have a local PAX affiliate, it is usually available as a cable channel. However, it’s not even among the 30 top-rated cable channels. On the other hand, some of the TV shows and cable networks with the most controversial material get the highest ratings. Go figure.

In reality, those who are clamoring the loudest for TV to “clean up its act” know they are in the minority. Instead of tuning their TVs to PAX or one of the other tamer channels (as I do) or even turning their TVs completely off, they go running to the government to force their tastes on everyone else. Oddly enough, most of these people consider themselves conservatives. Funny, I thought conservatives disdained government intervention in favor of allowing the marketplace to take its course. Where did I ever get such a silly idea?

What these people seemingly don’t realize is that their efforts could very well backfire on them and all the rest of us. Broadcasters have generally submitted to the concepts of the V-chip and content ratings to help parents regulate their children s TV viewing in their homes. After all, isn’t that what all of this hoopla is about? They have also meekly accepted reasonable fines from time to time for indecent broadcasts. However, the vocal minority is now demanding that the FCC and Congress play hardball, i.e., impose very large and numerous fines as well as revoking the licenses of stations found guilty of indecent broadcasts. In response to this demand, there are now bills circulating in both houses of Congress that would increase fines to the range of $250,000 to $3 million per violation along with threatening license revocation for habitual offenders.

Many people forget that the FCC and Congress are not the final arbiters of these matters. The courts are. In the past, the courts have vigorously defended the First Amendment and I believe they will continue this trend. By playing hardball, the FCC and Congress will leave broadcasters with no other option but to take them to court. Even though the courts have, in the past, upheld the FCC’s reasonable jurisdiction over broadcast TV, things could change if the government’s newly attempted heavy-handed penalties are challenged. Long ago, the courts stripped away the government’s “right” to regulate indecency on cable and satellite channels. If the government decides it really wants to play hardball with broadcasters, it could ultimately lose any jurisdiction over broadcast content as well.

But let’s suppose the government’s more restrictive regulations are upheld by the courts. That’s definitely a possibility. However, because of the greatly increase fines and the possibility of license revocation, the courts will likely force the FCC to be more specific and draw up more detailed indecency guidelines. They are currently vague, to say the least.

I ll use the following illustration to demonstrate how vague the FCC s current guidelines really are. Let s suppose that none of the roads or highways we all drive on everyday had posted speed limits. Instead, let s suppose they just had signs warning us not to drive too fast. Then let s suppose that the police were allowed to subjectively write tickets whenever they thought someone was driving too fast, but would never actually define what they thought too fast really was. That s similar to how the FCC operates. It doesn t provide any specific guidelines and only investigates a claim of indecency when someone files a complaint. It never explicitly states what a broadcaster can and cannot do.

Now, going back to our speeding analogy, let s suppose that we (along with the courts) tolerated this kind of speed enforcement because the fines were relatively small and no one s license was ever revoked. However, what do you think would happen if the governing authority decided to greatly increase the fines for speeding and allow the possibility of license revocations for such violations, without giving us specific speed limits? We would not stand still for such a thing and neither would the courts. Posted speed limits would be mandated.
